Wedding Countdown Checklist

From our years of hosting weddings at The Thrasher-Horne Center, we know that the key to ensuring your special day is just as you envision it is planning. To help you stay organized as you plan your wedding, we created the ultimate wedding countdown checklist, starting one year out and taking you right up to the week of the big event. Here’s the countdown, with just some of the to-dos each step entails (click through for more detail!):

  1. One year ahead: No pressure, just planning. This is when you’ll lay out the foundation, from determining your budget and choosing the date and place, to nailing down your guest list and researching wedding dresses.
  2. Nine to 10 months ahead: Get on vendors’ calendars. Time for some decisions! Order your dress, hire the photographer, and meet with caterers.
  3. Eight to nine months ahead: Make plans for travelers (including yourself!). Mail your save-the-date cards, book a block of hotel rooms for out-of-town guests, and start planning your honeymoon.
  4. Six to seven months ahead: A full to-do list. Meet with the officiant, purchase wedding invitations and wedding bands, and schedule wedding cake tastings.
  5. Four to five months ahead: Time’s flying! There’s plenty to think about this month, from the rehearsal dinner guest list and venue, to finalizing your guest list.
  6. Three months ahead: Decisions to make with your fiance. Plan seating arrangements, purchase wedding favors, and settle on whether you will write your own vows.
  7. Two months ahead: Just a few things to do. Mail invitations, double-check everything with your vendors, and go over specifics with your photographer.
  8. One month ahead: Last call! Make sure everything’s set for the honeymoon, including reservations and what you’ll pack. Practice walking in your wedding shoes and schedule a practice hair styling session.
  9. The week of your wedding: Relax, you’ve earned it. If you’ve checked all of the above items off your list, it’s time to relax a bit—treat your bridal party and yourself to a spa treatment, enjoy your rehearsal dinner, and get some rest.

Thrasher-Horne Wedding FAQs

Do you allow rehearsals the day prior? If so, what is the timeframe options? Will staff be available for assistance if needed?

If the room is available the day before, a client can opt to conduct a rehearsal, but this would be at an additional rental rate for the desired timeframe. The amount of rental time is purely up to the client and their needs. Our base minimal rental block is four hours, then hourly rates apply after the base. Rental hours must also fall within our operating hours of operation which is seven days a week from 7:30 am – 11:30 pm. Yes, we always have a staff representative available during all rentals.

Am I free to use any caterer I wish?

We do offer flexible catering options.  A client has the option to use their own caterer, all that is necessary is to provide a copy of their business license and Certificate of Liability Insurance naming St. Johns River State College as an additional insured on the date of the client’s event.  Additionally, another option is for the client to use our list of recommended caterers, which we already have all the required documentation, making it easier for our clients.

Do you have a list of recommended caterers, DJs, photographers, or officiants?

We do have a list of recommended caterers who provide a wide range of services from snacks or light hors d’ oeuvres to themed dinners or award-winning barbecues.  However, do not have recommended lists for DJs, photographers, or officiants.

How far in advance can I/vendors have access to the space to begin decorating/set-up?

All contracted reservation times must include any time needed for catering preparations, setup/decorations, as well as cleanup of the event space.  The access for decorating/setup as well as any other activities associated with the rental is determined by the client through their contracted reservation times.

May I put up decorations outside the building or in the foyer?

Our Conference Center staff must approve all decorations and display methods prior to an event setup.  The use of tape or other affixing items that damage the walls or doors is prohibited.  We do allow the use of removable 3M command strips or blue painters tape to hang decorations.

How long is the rental time for the space I reserved?

Our Conference Center is available for rent seven days a week and our rental hours are from 7:30 am to 11:30 pm depending on other scheduled events.  The actual rental time of an event is determined by the client’s needs.  All rentals include a 4-hour minimum base rate and then hourly rates as applicable to client’s needs.

Will my wedding ceremony and reception take place in the same space?

Our Conference Center provides the perfect atmosphere and flexibility for your wedding and/or reception.  The Conference Center has six banquet rooms that can provide space in whatever design a client envisions.  Our grand banquet room offers a contemporary design, complete with beautiful chandeliers.  For a wedding, our grand banquet room can accommodate up to 240 guests comfortably with enough room for dancing.  Additionally, our other banquet space is the perfect setting for your wedding ceremony.  We also have had several clients hold a wedding ceremony and reception in our grand banquet room.  In summary, we can accommodate a wedding ceremony and reception in one room or a wedding ceremony in one banquet room followed by the reception in another banquet room.

Could there be multiple events taking place at the Thrasher-Horne Center on my wedding day?

At times, we do have concurrent events at the Thrasher-Horne Center.  However, on these few occasions, we ensure the events do not interfere with each other’s activities through the use of separate entrances and hallways.

Are rental fees cheaper if we don’t book on a Saturday night?

Our Conference Center rental fees are based on a 4-hour base minimal rate, then an hourly rate applies based on the client’s needs.  The 4-hour base minimal rate is the same any day of the week, however, our additional hourly rates do increase on Saturdays, which is recognized as a peak day.

What does the rental fee include?

All our rooms include tables and chairs with a custom setup and furniture breakdown, ample free parking, independently controlled room lighting, and flexible catering options.  We also have an event attendant present at all times to assist our clients.

Are there any decor restrictions?
